Privacy Policy

GroupFlo collects nothing.

Effective 22 August 2026 · Gold City Media, LLC

This is a short policy because there is very little to describe. GroupFlo has no user accounts, no analytics, no advertising, no tracking, and no server. The app contains no networking code of any kind, so there is no mechanism by which information about you, your facility, or your patients could reach us.

The rest of this page explains what that means feature by feature, so that a compliance reviewer can check the claim rather than take it on faith.

Who we are

GroupFlo: Rehab Therapy Solutions is published by Gold City Media, LLC, a North Carolina limited liability company. In this policy, “we” and “us” mean that company, and “the app” means the GroupFlo iPhone and iPad application.

What we collect

Nothing. We operate no servers, no database, no logging pipeline, and no analytics service. We do not know how many sessions you run, which activities you choose, when you open the app, or whether you use it at all.

The app makes no network requests. It does not request permission for your location, camera, microphone, photos, contacts, calendar, or health data, because it uses none of them.

What the app stores on your device

GroupFlo saves your work locally so it survives closing the app. This data lives in the app’s private storage area on your iPhone or iPad. It is never transmitted anywhere, and we cannot read it.

What is saved:

  • Your session setup preferences — session length, theme, therapy goals, room type, and any observances you have opted out of
  • The current session plan, and any session templates you have saved
  • Activities you have marked as favourites
  • Whether you have completed the walkthrough, and whether coaching tips are on
  • Which version of the terms you accepted, and when
  • A count of how many sessions you have built

Deleting the app deletes all of it. There is no copy anywhere else.

Your subscription

GroupFlo is sold as an annual subscription through the Apple App Store. Apple processes the purchase and handles all payment information. We never see your name, email address, payment card, or billing details.

There is no GroupFlo account and no password. Access is tied to the Apple Account signed in to the App Store on your device. When the app checks whether you have an active subscription, that check is performed by Apple’s software on your own device against Apple’s records. The app sends nothing to us in the process.

Apple provides us with aggregate, anonymised sales figures — unit counts and revenue totals by region. These contain no information identifying any individual purchaser. Apple’s own handling of your purchase is governed by Apple’s Privacy Policy (https://www.apple.com/legal/privacy/), not by ours.

Problem reports

The app includes a way to report a problem. It is entirely optional, and it works without any network connection of its own.

When you use it, GroupFlo composes a plain-text report and hands it to your device’s mail app. Sending is your action, from your own email account. The app cannot send anything on its own, cannot read what you type, and has no way of knowing whether you sent it. You see the complete text before it goes.

A report contains only:

  • Which problems you ticked, from a fixed list
  • Identifiers and wording of the activity and prompts the app itself generated
  • The session settings you chose — length, room type, goals, disciplines
  • App version, iOS version, and device model (for example iPad14,3, a model shared by millions of devices)

There is no patient information in a report because there is no field one could occupy. If you send a report, we receive it as ordinary email at feedback@groupflorehab.com, along with whatever return address your mail app uses.

We cannot accept patient information. If anything identifying a patient reaches us by mistake, we delete it and do not retain a copy. Reports go to a dedicated address rather than a personal inbox precisely so that deletion is clean.

Sharing sessions and summaries

You can export a session plan or summary using the standard iOS share sheet. Where it goes is entirely your choice — mail, messages, files, printing. The app hands the document to iOS and takes no further part. Nothing is sent to us.

Our App Store privacy label

GroupFlo’s App Store listing shows Data Not Collected. That reflects the app as built: it has no code that transmits anything.

For completeness: if you choose to email us a problem report or a support question, we receive your message and your email address, in the same way any business receives email. Apple’s guidelines treat optional, user-initiated support correspondence as outside the privacy label, and we agree with that reading — but we would rather state it plainly here than have you discover it and wonder what else went unsaid.

Children

GroupFlo is a professional tool for licensed rehabilitation clinicians. It is not directed at children, and it collects no data from anyone, including children.

Your rights

Privacy laws including the GDPR and the CCPA give you rights to access, correct, delete, and port the personal data a company holds about you, and to know whether it is sold.

We hold no personal data about you, so there is nothing to access, correct, port, or delete. We do not and will not sell personal information. Data stored by the app is on your own device and under your control; deleting the app erases it.

If you have emailed us, that correspondence is the one thing we hold. Write to us and we will delete it.

HIPAA

GroupFlo is not a covered entity and does not act as a business associate. Because the app neither collects, stores, nor transmits protected health information, no business associate agreement is required for its use. Facilities are welcome to contact us with compliance questions and we will answer them directly.

Changes to this policy

If our practices ever change — for example if a future version of the app adds a feature requiring a network connection — we will update this page, change the effective date above, and update the App Store privacy label before that version ships. We will not quietly begin collecting data that this policy says we do not.
